TapeQuote — Privacy Policy

TapeQuote turns a tradesperson's spoken job description into a priced quote or invoice. This policy explains what we collect and why, in plain English.

What we collect

• Account details — your email address and a password (held by our authentication provider, Supabase).
• Voice recordings — the job descriptions you record. Recordings are kept for up to 90 days to let us regenerate a quote if something goes wrong, then deleted automatically.
• Transcripts, quotes and invoices — the text and pricing generated from your recordings, including customer names, addresses and email addresses you speak or your customers provide.
• Your price book and business details — the prices, terms, logo and letterhead you set up.
• Device push token — so we can notify you when a quote is opened or accepted. Optional.
• QuickBooks connection tokens — only if you connect QuickBooks, to sync your invoices. We never see your QuickBooks password. Disconnecting removes the tokens.
• Crash reports — technical error data via Sentry, to fix bugs. No recordings or quote contents are included.

Who processes it

We use a small set of processors, each only for the purpose stated: Supabase (database, authentication, file storage), Deepgram (speech-to-text), Anthropic (turning transcripts into structured quotes), Expo (push notifications), Intuit (QuickBooks sync, if connected), Sentry (crash reporting), Fly.io (hosting) and postcodes.io (postcode lookup). We do not sell your data or use it for advertising.

Your customers' data

Names, addresses and emails of your customers are stored solely so your quotes and invoices work, visible only to you (and QuickBooks if you connect it). Customers who receive a quote link can choose to add their own details after accepting.

Deleting your data

Settings → Delete My Account permanently removes your account and everything in it — quotes, invoices, recordings, price book, customer details and integration tokens. This is immediate and irreversible. You can also delete individual quotes and invoices at any time.

Retention

Voice recordings: up to 90 days. Everything else: for as long as you keep your account.
